The conundrum: a hotel ballroom that had to feel like the summit

The Ascot Suite at the Hilton London Gatwick Airport needed to feel like the London Gatwick Economic Summit’s own space. For the business and regional leaders arriving, the room needed to carry the summit’s identity at a scale that filled the space.

That setting also had to work through a full day of keynote talks and panel discussions. Delegates further from the stage needed to follow the speakers and their presentations, while the production supported each change in the programme.

The solution: one production, from stage to screen

We built the production around a branded stage, with technical control at the back of the room.

The branded set gave the summit a space of its own, with the screens built into the design so speakers and presentations shared the same backdrop. Behind it, our production team kept the camera feeds, slides and sound working together as the programme moved from keynote talks to panel discussions. We also accommodated last-minute changes to the presentation files, with our crew managing playback throughout the day.

A stage with the summit’s identity: We used the client’s artwork across an 18-metre set and branded lectern, with blue velvet drapes completing the backdrop. The raised stage gave keynote speakers and panel discussions a clear focal point.

The speaker on screen, as well as on stage: Live camera relay brought close-ups of the panellists onto the projection screens, helping delegates further back follow the discussion. We integrated both screens into the branded set so the live pictures formed part of the stage design.

Presentations given proper space: The twin projection setup displayed presentation content as well as live camera pictures. A video mixing and playback system let us switch between slides and speakers as the programme changed.

Sound for the room and the programme: Wireless mics for the panellists and a dedicated lectern mic fed into a digital mixing desk, giving us central control of each speaker’s sound. The d&b system provided coverage at the front and further into the room so delegates could follow the discussion from their seats.

Lighting that gave the stage definition: We lit the speakers and added blue lighting to the backdrop, drawing attention to the stage and carrying the summit’s colours into the room. The lighting also helped delegates see the speakers clearly in the live camera pictures.

A team behind the technical production: The production package covered a senior production manager and specialist sound, lighting and video engineers, with installation and removal also provided for. The control position brought the audio desk, camera feeds, screen previews and content playback together to manage what delegates heard and saw throughout the programme.

The outcome: a summit with a stage of its own

Thanks for all of your help in the run up to the event and for accommodating the many last-minute changes and different versions of files.

A massive shout out to the team on the day (and to the set up / pack down team) - the event was seamless… as always!
