The brief

The brief for this exciting project centred on the client’s invited guests: 300 senior leaders who had travelled from all over the world to attend a summit at the company’s offices in central London.

In keeping with company policy, the client’s top concern was wellbeing. The reception needed to take account of the fact that guests might be suffering from stress and jet lag after a long journey.

The mix of cultures and nationalities was another important consideration. With that in mind, we designed an event to showcase British hospitality whilst remaining open and accessible to all.

Event design

The event was divided into three different zones around the large, L-shaped room.

We created a Wellbeing Area by laying an artificial grass surface and putting up velvet drapes to create a secluded space. White cube seating and tall, potted plants gave it a fresh, natural feel whilst soothing, meditative music transformed it into an oasis of calm. We installed Virtual Reality Pods where guests could select a ten-minute meditation journey; and an oxygen bar for an instant energy boost.

In the games area, we set up international favourites like pool, table tennis and table football plus some quirkier entertainment options – Strike a Light, a Cash Grabber and an air hockey table, amongst others. Top Gear-style leader boards introduced an element of competition and our smart, uniformed staff were there to make sure everyone relaxed and had fun.

The third zone proved very popular, as we encouraged guests to become a Star Behind Our Bar. Expert mixologists taught groups of guests how to shake up some classic cocktails, before inviting them to step behind the bar to have a go themselves. Competitors were marked on the taste, speed and presentation of their cocktails and scores were recorded on an LED screen.
